picture of tool or peoplePeople who plan big parties and meetings use a calendar to make sure everything gets done on time for the party or meeting. Their goal is for the party or meeting to go well. They know how long it takes to complete each job needed to reach their goal. They also know which jobs must be done before another job starts. Then they decide when they need to start each job by working back from the date of the party or meeting. If they work in a team, they mark each person's jobs with a different coloured pen. They make a line through the days of the calendar for how many days it will take the person to complete the job. Then they can make sure that no one has more work than they have time. They can also mark on the calendar when to check with people to see how they are doing.

Here are more tips to keep a team on track:

  • Pick the right person for the job. If one person has many skills, have the person partner with different team members for different jobs.
  • Do not take on too many jobs. It keeps others from adding to the team's success.
  • Break up big jobs into smaller jobs [C1].
  • If someone takes on a job that is new for them, check in to see how it is going before the deadline.
  • If you tell people how to do a job, use words that describe the actions, not the results [C1].
  • Be clear at the start about time-lines. Make sure people know how it will affect the team if they do not get their job done on time [C1].
  • Plan how you will communicate with team members between meetings. Different people may like different ways, such as phone messages, e-mail, fax, or face-to-face.
  • Check the action plan before each meeting to make sure you talk about each job.
  • If a job is not done on time, have the team help decide what to do.
